Troubleshooting¶
For: all users
Common messages and situations, and how to resolve them.
"Why can't I issue?" — the Issue button is inactive¶
The transmittal lists its blockers; each maps to a fix:
| Message | Fix |
|---|---|
| Add at least one document | The transmittal is empty — upload documents. |
| A document is still being read | Extraction is running; it finishes within seconds. |
| A document's extracted details need to be confirmed | Open the document and confirm the pre-filled values. |
| A document is missing its number, name or revision | A field is blank — complete it manually. |
| Two versions of the same document are on this transmittal | A transmittal carries one version per document — remove one. |
| Choose recipients or select "No distribution" | Make the distribution choice explicit. |
| Awaiting drafter/designer/manager approval | A required role hasn't signed off. Check with holders of that role — and remember approvals reset if the document set changed. |
My approval disappeared¶
Someone changed the transmittal's document set (added, removed, or replaced a version) after you approved. That reset is deliberate — approvals attest to a specific set. Review the current set and approve again. Why approvals reset.
Extraction left the fields blank¶
The title block couldn't be read confidently — common with scans, photos, or non-standard layouts. Nothing is wrong: type the number, name, and revision manually and carry on. Getting the best results.
The upload matched the wrong document / created a duplicate entry¶
Open the version on the draft transmittal and reassign it to the correct document. A mistaken, never-issued register entry left empty by the move is cleaned up automatically.
"This revision has already been issued" / "Expected next revision is …"¶
Advisory warnings, not errors — they flag likely typos in the revision name. Fix the revision if the warning is right; issue anyway if your numbering is intentional. Warnings never block issue.
"Doesn't match the project's number format"¶
The document number doesn't fit the project's document number format; the part named in brackets is the first one that's wrong. Correct the number, or issue anyway if the format doesn't cover this document. Only new documents are checked, and the warning never blocks issue.
A recipient says the portal link doesn't work¶
- The link may not have copied fully from the email — have them click it directly rather than retyping.
- Share links expire after 30 days and can be revoked; recipient links don't expire but can be revoked too.
- Fastest fix in every case: open the issued transmittal and resend to that recipient — they get a fresh email immediately.
The invalid-link page is deliberately blank about details — it reveals nothing about the transmittal to whoever holds a dead link.
A recipient didn't get the email¶
- Ask them to check spam/junk for the transmittal email.
- Check the recipient's address on the issued transmittal (recipients were snapshotted at issue — a contact fixed afterwards doesn't change the issued list).
- Resend — or, if the address was wrong on the snapshot, issue a new transmittal to the corrected contact.
"Admin role required"¶
The action (creating projects, account settings, users, billing) needs an admin. Any current admin can promote you in the Users view.
"Project limit reached"¶
Your account is at its plan's project cap. An admin can upgrade under Account settings → Manage subscription (Billing).
Can't withdraw a document — "resolve draft versions first"¶
A document with draft (never-issued) versions can't be withdrawn as a whole. Issue or delete the drafts, then withdraw. Withdrawing rules.
